Ameniti Inc. (“Ameniti,” “we,” “our,” or “us”) provides a task management application for hotel and hospitality teams. This Privacy Policy explains how we collect, use, disclose, and protect information when authorized users access the Ameniti mobile application for iOS and Android, including task notifications, task viewing, and task management features.
This app is intended for authorized users of Ameniti client organizations, such as hotel staff, hotel managers, department users, and client superusers. It is not intended for use by hotel guests.
1. Information We Collect
We collect and process information necessary to provide the Ameniti task management service.
Account and User Information
Ameniti client superusers may create user accounts for hotel-level users. This may include:
- First name
- Last name
- Email address
- Hotel, property, or client organization
- Department or group, such as front office, housekeeping, engineering, or management
- User role, permissions, and notification preferences
Users log in with the same email address used in the Ameniti portal. Users may receive a magic link or login code by email.
Authentication and Session Information
To provide secure and convenient access, we process login and session information, including:
- Login email address
- Magic link or login code verification
- Session cookies, tokens, or similar technologies
- Login timestamps
- Security and access logs
For user convenience, the app may maintain a login session for up to one month, similar to the Ameniti portal.
Task and Operational Information
The app allows users to receive notifications and manage tasks created in the Ameniti platform. These tasks may be created automatically by Ameniti’s AI or manually by authorized users.
Task information may include:
- Guest-related service requests
- Guest events
- Guest dissatisfaction signals
- Manual internal tasks
- Task title, description, status, priority, reminders, escalations, and assignment information
- Notes, comments, timestamps, and user actions related to task handling
- Hotel operational information related to the task
Some guest-related tasks may include personal information about hotel guests, such as guest name, stay information, room or reservation references, service request details, or other information provided by the hotel, property systems, or authorized hotel users. Ameniti processes this information to provide the service to its hotel clients.
Notification Information
If notifications are enabled, we process information necessary to send task-related notifications to users. Notifications may relate to:
- Task creation
- Reminders
- Escalations
- Unattended tasks
- Other task events selected by the client or user administrator
This may include device notification tokens or similar identifiers used to deliver push notifications.
Device, Usage, and Technical Information
We may collect limited technical information to operate, secure, and improve the app, including:
- Device type and operating system
- App version
- IP address
- Device identifiers or notification tokens
- Log files
- Error reports, crash reports, and diagnostic information
- Usage events related to app functionality, such as task opening, task updates, and session activity
We do not use this information for advertising or cross-app tracking.
2. How We Use Information
We use the information described above to:
- Provide access to the Ameniti mobile app
- Authenticate users through magic links or login codes
- Maintain secure user sessions
- Send task-related notifications
- Display and manage assigned tasks
- Allow users to open, update, complete, or otherwise manage tasks
- Support reminders, escalations, and unattended task workflows
- Provide real-time performance and operational reporting to authorized client users
- Maintain security, prevent unauthorized access, and troubleshoot technical issues
- Provide customer support
- Comply with legal, contractual, and regulatory obligations
3. How Information Is Shared
We do not sell personal information. We do not use the app for third-party advertising or cross-app tracking.
We may share information in the following limited circumstances:
With the Client Organization
Ameniti provides the app as part of its services to hotel and hospitality clients. User activity, task activity, reporting data, and task status may be visible to authorized users within the relevant client organization, depending on permissions.
With Service Providers
We may share information with trusted service providers that help us operate the app and platform, such as hosting providers, cloud infrastructure providers, security providers, authentication providers, email delivery providers, notification delivery providers, analytics or diagnostics providers, and customer support tools.
These providers are authorized to process information only as needed to provide services to Ameniti and are required to protect the information they process.
With Apple, Google, and Notification Infrastructure
When users enable app notifications, certain device or notification information may be processed through Apple or Google notification services to deliver push notifications to the user’s device.
For Legal or Security Reasons
We may disclose information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect the rights, security, or safety of Ameniti, our clients, users, hotel guests, or others.
Business Transfers
If Ameniti is involved in a merger, acquisition, financing, corporate reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.
4. Client-Controlled Data
Ameniti provides services to business clients, including hotels and hospitality organizations. Some information processed through the app is controlled by the client organization, including user accounts created by client superusers and guest-related task information supplied by the hotel or connected systems.
If you are an authorized user and want to access, correct, or delete information associated with your account, you may contact Ameniti at privacy@ameniti.com or contact your organization’s Ameniti administrator.
If your request relates to information controlled by a hotel or client organization, we may refer the request to that organization or assist them in responding, as appropriate.
5. Data Retention
We retain information only for as long as reasonably necessary to provide the Ameniti services, maintain business and security records, comply with legal obligations, resolve disputes, enforce agreements, and support audit requirements.
In general:
- User account information is retained while the user account remains active and for a reasonable period after deactivation, unless a longer retention period is required by law, contract, security, or audit obligations.
- Login, authentication, session, and security logs are retained for a limited period necessary for security, fraud prevention, troubleshooting, and audit purposes.
- Task records, task history, comments, reminders, escalations, performance reports, audit logs, and related operational records are retained according to the applicable client agreement, the client’s operational requirements, applicable law, and Ameniti’s legal, security, and audit obligations.
- Mobile session cookies, tokens, or similar session technologies may remain active for up to one month unless the user logs out earlier or the session is terminated.
- Push notification tokens are retained while the user uses the app and has notifications enabled, and are deleted or deactivated when no longer needed.
When information is no longer required, we delete it, de-identify it, or retain it only as legally permitted.
6. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
No system can be guaranteed to be completely secure. Users are responsible for protecting access to their email account and device, since the app login process relies on access to the user’s authorized email address.

7. Cookies and Similar Technologies
The app and related portal may use cookies, session tokens, local storage, or similar technologies to authenticate users, maintain sessions, improve security, and provide app functionality.
These technologies are used for operational purposes and not for advertising or cross-app tracking.
8. International Data Processing
Ameniti may process information in the United States and other locations where Ameniti, its clients, or its service providers operate. If information is transferred internationally, we take appropriate steps designed to protect it in accordance with applicable law and contractual obligations.
9. Privacy Rights
Depending on your location, you may have certain rights regarding your personal information, such as the right to request access, correction, deletion, restriction, portability, or objection to certain processing.

Because Ameniti provides services to client organizations, some requests may need to be handled by the relevant client organization. We will assist or refer the request as appropriate.
10. California Privacy Notice
We do not sell personal information and do not share personal information for cross-context behavioral advertising.
The categories of personal information we may process include identifiers, professional or employment-related information, internet or electronic network activity information, device information, and information contained in task records or operational communications.
We use this information to provide the app, operate the Ameniti platform, maintain security, support users, and provide services to our clients.
11. Children’s Privacy
The Ameniti app is intended for authorized business users and is not directed to children. We do not knowingly collect personal information from children through the app.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and may provide additional notice where appropriate.
